What plumbing closeout documents should a property manager receive?

  • Installed model and serial numbers, with manuals for operation and maintenance.
  • Manufacturer warranty documents and the installer's separately written terms, if offered.
  • Approved changes and a record of changed routes, valve locations or equipment connections.
  • Unfinished items, exclusions and the person responsible for each followup.

The federal UFGS closeout guide specification is a useful example: it distinguishes record drawings, warranty information and other handover submittals. It is a federal contract guide, not a rule requiring that entire package on every private Phoenix job. Your contract and applicable approvals determine the actual deliverables.

How do you check the package?

Match each record to the right address, suite, equipment and permit. A report for another assembly or an earlier tenant is not evidence for the current installation. Check whether a test passed, which portion was tested and whether the authority required filing.

Compare the documents with a walkthrough. Can the manager find the equipment and isolation valve described in the file? Are model numbers readable? If the route changed, review record drawings and permit plans together instead of assuming either proves every concealed detail.

For later service visits, use a commercial plumbing work-order record to connect the finding, performed work and remaining followup to this handover file.

What stays open at handover?

Keep a dated outstanding-items list. Mark each item as contractor work, another trade's work, owner action or authority action. A completed plumbing task may still depend on electrical connection, restoration or whole-project approval; see coordinating the trade handoff.

Before reconciling the final bill, compare the commercial invoice with the estimate and authorized changes separately from inspection and handover status.
